Smart Review is an AI-feature allowing to read and annotate a document with suggestions of improvements in regards to given guidelines.

It is available in the 'Reviews' layer when opening a document preview.


Permissions
  • Sys admins have all rights
  • Users with at least READ permission on the file can add comments
  • Users with at least WRITE permission on the file can launch a smart review
  • Comments from a smart review are owned by the user who launched it

How to launch a Smart Review

To launch a Smart Review, you need to:

  1. Open the file you want to review.
  2. Click on "Reviews", the fifth layer in the menu of the file.
  3. Click on "Launch Smart Review".

You will then have to configure your review or use an available preset if there is any.

From scratch

To configure your review, you need to:

  • Give it a name: it will be used to identify the related comments on your document in case you launch different reviews.
  • Give guidelines:
    • You can either give written guidelines, like "Verify my grammar", or
    • You can give document guidelines, such as a publication journal checklist.

It is possible to have both a document and written guidelines to specify other details like the expected content or style of the comments.


If needed, you can save your configuration as a preset to allow using it again on other files and projects.

From a preset

When presets are available for this task, they are listed on the left of the modal.

You can:

  • Click on a preset to check its configuration.
  • Edit the preset if you have the permission (requires a WRITE access on the preset).
  • Duplicate a preset.
  • Delete a preset (requires a WRITE access on the preset).
  • Manage the preset policy (only if owned).


You can click on 'Use preset' to select the preset for your review.

You will then access the configuration modal in case you need to make some modifications before launching the task.

If you do some editing, you will be asked if you want to:

  • Only use the changes for this task, without impacting the preset, or
  • Update the preset, or
  • Create a new preset with this updated configuration.

The Smart Review will then be launched.


How to manage existing Smart Reviews

Logs access

Previous or ongoing reviews are available when clicking on the dot next to the "Launch Smart Review" button.

You can access the following information:

  • Total number of reviews (number displayed on the dot)
  • Reviews with their name, status, owner and timestamp
  • Reviews configuration, by clicking on the review name
  • Error code if status is failed, by clicking on the copy icon next to the status.

AI Comments

When a Smart Review is finished (and successful), comments are applied to the file.

Comments can be read either by clicking on the highlighted text on the left, which will scroll and open the comment on the right, or by clicking on the right which will open the comment and scroll to the highlighted part of the file.


It is not possible to add responses below AI comments, but it is possible to mark a comment as resolved to hide it.

If a comment is not useful, it can be deleted. In that case, it won't appear anymore, in opposition to resolved comments.


If the Smart Review used a guidelines document as source, it will add the argument within its answer.
