Add a full-text to a metadata file

This article explains how to merge your metadata file with its full-text version without losing previous work.

What is a metadata file

A metadata file contains descriptive information about a document, but not the full text.

It can be added to the platform in two ways:

A metadata file has no preview, but you can still open it to access the general information and knowledge.

How to add a full-text

If you have the full-text file on your computer, you can attach it directly to the existing metadata file without losing any previous work (such as collection knowledge). 

To do so:

  1. Open your metadata file
  2. Click on 'Add file'
  3. Select the file from your computer.

The file will be added and the indexation will be automatically launched.

Please note that after indexing, the general knowledge of the document might be updated, as full-text analysis can provide additional or more accurate information.


How to bulk add full-text files

If you need to import several files, you can use the "Upload and merge" option in your collection.

It will allow you to select several files and launch a matching task, which will be visible from your collection.

The process may take some time, as the system needs to index each file, extract information, and perform a thorough comparison.

On average, you can expect about 1 minute for 1-3 files, depending on their complexity.


Once the task is complete, you can open it and review the results through three steps:

  1. Match validation: you can skip this step if everything looks correct, or deselect any files that were not matched properly.
  2. Duplicate handling: if multiple metadata files are detected, you can select the one you want to merge.
  3. Unmatched files: for files without an automatic match, you can:
    • manually link the right files to remaining metadata files, or
    • decide whether to remove them or upload them as standalone files (without merging).
